Archive Code Breakdown

Since I decided to do archive entries with Ianto in Whoville, I actually thought about how the archive codes work, for filing. I'm glad I'm not Ianto, and I don't have to wrap my brain around it on a daily basis. It makes my brain hurt.

Primary archives have a four-part code, followed by the title. #[code 1].[code 2].[code 3].[code 4] Archive Title

[code 1] - date of incident/information. Not always the same as the date the archive was created. Day, then month, than year. If the date isn't on an Earth calendar, the relevent planet is included in the code prior to the date. If the date is BCE, than that is included in the code after the date. If the location is out of time and space, "NSTC" is used - No Space-Time Coordinates.

In the archive for the "Isolate Dimension Reports", the first part of the code is "NSTC" because Whoville is outside of time and space.

[code 2] - type of archive. There are several archive types, and more than one can be used in an archive. If there is more than one, they are seperated by a colon.

AEO - Archivist Eyes Only (archive locked for Ianto's viewing only)
ART - artifact (a physical object in the archives, this is used on the listing in the computerized archive)
AUD - audio archive
DEO - director's eyes only (archives locked to the four directors of Torchwood)
EC - encrypted (electronically or with physical coding)
EM - email log (Torchwood email address as originator or recipient)
IM - other IM log (Torchwood-related IMs carried out using an IM service other than the Torchwood IM service)
IOM - intra-office memo log (system used primarily at Torchwoods 1&2)
IT - interview/interrogation transcript
LR - labratory report (B - biological, C - communications tech, W - weapons, G - games/toys/musical instruments, U - unidentified, O - other identified tech)
MA - media article (P - newspaper, R - peer-reviewed journal, J - non-peer-reviewed periodical, I - internet, B - blog)
MED - medical records (viewable only to medical staff of Torchwood and the patient)
MIN - minutes of a meeting
OPI - observed person of interest (viewable only by senior Torchwood staff and relevent personel)
PER - personel records (viewable only by senior Torchwood staff)
PR - public report (report availible to anyone)
PSY - mental health records (viewable only to psychologists on staff and the patient)
RDP - research and development proposal
SEO - senior-staff eyes only (viewing restricted to the senior staff of Torchwood)
SL - security log/report (usually used by Detainment and Isolation)
SR - secret report (reports not available to non-Torchwwood personel)
TWM - Torchwood IM log (IM conversations carried out using the Torchwood IM service)
VID - video archive (C - CCTV, M - media)

In the archive for the "Isolate Dimension Reports", the second part of the code is "SR", as Ianto is making a report that will not be availible to the general public, but won't be locked to the senior staff or directors. Not that it's existance is public knowledge, though.

[code 3] - date of archive entry. Same format as the first section, except that the year will definately be four digits, and there is no further code neccessary to distinguish calendar or BCE, or out of time and space.

In the archive for the "Isolate Dimension Reports", the third part of the code is "1622203" - 16 February 2003, when Ianto first created the archive.

[code 4] - archive originator. The initials of the person creating the archive file, along with an abbreviation of their job title, and their branch.

D - Director (L - London, G - Glasgow, C - Cardiff)
H - Head of Department (see below codes for relevent departments)
A - Archives
P - Personel
M - Medical
R - Research and Development
F - Field Operations
I - Internal Security
S - Psychology
D - Detainment and Isolation

In the archive for the "Isolate Dimension Reports", the fourth part of the code is "IJHAG" - Ianto Jones, Head Archivist, Glasgow.

Archives can have sub-archives, and often have references to other archives. References are listed in the last page of the archive by code with title. Sub-archives are listed before references, and they have a two-part code affixed to the primary archive code. [primary code]-[code 1].[code 2]

[code 1] - archive type. Same parameters as part 2 of the primary archive code.

In the archive posted for the "Isolate Dimension Reports", the first section of the sub-archive code is "EM", because this is an email.
In the attatched archive file, it is "IT", being a transcript of the conversation between Ianto and Martha.

[code 2] - date of archiving. Same parameters as part 3 of the primary archive code.

In the archive posted for the "Isolate Dimension Reports", the second section of the sub-archive code is "1982003" - 19 August 2003, as is the same section of the attatched archive file.

Archive titles would refer to the information the archive contains. The name of the individual for a personel or observation file (with "personel file" or "observation file"), a name for or description of the artifact/alien species/alien individual for various incident reports, the location and reason for a meeting, the names of the individuals in an IM conversation or email or memo log, etc.

So for the archive with Ianto's reports on going to Whoville, the title is "Isolate Dimension Reports", because that is what Torchwood has termed the dimension (or rather, what Ianto has, and the Master doesn't care to change).
